View Workflow Logs

Navigate Here: Workspace > My Tasks; click the View Log link under the Tasks to be Processed or Completed Tasks tabs

Or, take Project Approval workflow for example,Projects > Browse Planning Projects, click into a project > Project Management Page> Tab Planing >Tab General, then click the Workflow Log link

 

You can view all available instances of the current Workflow Process Type on the View Workflow Logs page by clicking the Workflow Log link.

A brief summary of each instance displays in the table.  The summary includes Workflow Instance, Start Time, Participants, Status, Finish Time, and Last Review Result. You may sort the records by clicking the linked column header. By default, the records are sorted by Start Time in descending order. If there are too many records to be displayed in one page, you can use the navigation control to view another page, or you may increase the number of records per page.

 

Workflow Instance: A Workflow Instance is an actual executing copy of a Workflow Definition for a Process Type. A Workflow Process Type may have multiple instances. Workflow Instance(Name) is composed of “Workflow Process Type Name + ID-Name/ID/Name (if ID or Name is not applicable) of the Business Entity for the Workflow Process Type + Instance Sequence No.”, and its format is “Process Type Name “ID” – #Seq. No.”.

 

Start Time: It is the time when the instance was triggered. It is in Date/Time format.

 

Participants: It lists IDs of the users who participated in the workflow instance. If it is a running instance, the users who have participated so far will be listed.

 

Status: The Status of the instance. There are three statuses as below:

 

Running: The instance is still running, not completed.

Completed: The instance is already completed.

Terminated: The instance process is aborted with exceptions. For example, a running instance must be terminated manually.

 

Finish Time: It is the time when the instance is completed. Only the Completed instances will have Finish Time. It is in Date/Time format.

 

Last Review Result: The final Review Result of the instance. It is applicable to the “Review” type Workflow Process Types. Only the Completed instances will have Last Review Result.

You can click the Close button to close this window.

You can view the log details of an instance by clicking the View Details icon view. The system will pop up another View Workflow Logs window, listing details of each work item in the instance on one screen.

You can view logs on a work item basis for a workflow instance on this screen. The contents contained on this screen are read only.

Work items are sorted by Finish Time in ascending order. A “Downwards” icon Downwards will be shown between two work items. If the work items are processed by system automatically, for example, the Auto Email Activity, Auto Attribute Update or Auto Process Activity, the workflow logs will be removed by default from the View Workflow Logs screen.

The Workflow Instance(Name) is displayed under the page title, so you will know which instance you are looking into.

Logs of a work item are composed of two sections.

The upper section lists the general information of a work item.

Work Item Name:  The name of the work item that was specified in the Activity Name field when editing an activity in Workflow Process Definition.

Participant: The participant of the work item that was specified in the Participants field when editing an activity in Workflow Process Definition. It will also list the history of task reassignments including information of the delegation (if any) underneath the participants.

Task Status: The status of the work item. There are three statuses as below:

New: The work item is new and waiting to be accepted. Note: New Tasks will not be displayed on this screen.

ToBeProcessed: The work item is already accepted and pending to be processed.

Completed: The work item is already completed.

 

Finish Time: It is the time when the work item is completed. Only the Completed work items will have Finish Time. It is in Date/Time format.

Review Result: The Review Result of the work item. It is applicable to the “Review” type activities (the "Review" checkbox is selected when editing an activity in Workflow Process Definition). Only the Completed work items will have Review Result. It will be blank if this is not a Completed work item. Note: This field  will be invisible if it is not a “Review” type activity.

Review Comment: The review comment of the work item. You can click the Expand icon bigger to expand the text box to show full content. Only the Completed work items will have Review Comment. It will be blank if this is not a Completed work item.

Review Notes: The review notes of the work item. You can click the Expand icon bigger to expand the text box to show full content. It is applicable to the “Review” type activities. Only the Completed work items will have Review Notes. It will be blank if this is not a Completed work item. Note: This field  will be invisible if it is not a “Review” type activity.

The lower section lists all checklist items configured for this work item as well as their checking status in this worklfow instance. Only the Completed work items will show checklist. This section will be invisible if this is not a Completed work item.

Each row lists each checklist item and its notes if applicable.

The selected checkbox means the checklist item was checked by the participant in processing the work item, while the unselected checkbox means it was not checked.

Documents submitted along with each workflow task will be listed under the Checklist data grid accordingly. For further details, you can download the initial version or the latest version of the document by clicking corresponding Download action icons, as needed.

If the document associated with the submitted workflow task is deleted, the log for this workflow task will still list the deleted document. This will allow users' tracking all possible changes made to the workflow task. In this case, only the initial version of the document will be available for download.
