Navigate Here: Implementation > Solicitation Management > Browse Solicitations, select a solicitation > Responses tab, click the Add icon
You can add a solicitation response on Add Solicitation Response page.
All modifications in this page must be saved by clicking the Save button. Once it's after saved successfully, the system will direct into Edit Response page.
The following fields will be displayed in the solicitation response general form:
The required fields are noted with an asterisk (*).
Response ID: The ID of the solicitation response. It is read-only and will be automatically generated by the system in a sequence number.
Bid Package File: You can click the Select File button to select a bid package file (Excel file only) from your local PC directories for uploading when saving the new response. The file name will be displayed in a list under the button, and you can clear it by clicking the Clear List icon and select again. Note, the uploaded bid package file will overwrite all questions and quotes in the current response.
Upload Documents: You can click the Select File button to select multiple documents from your local PC directories for uploading when saving the new response. The file name of the documents will be displayed in a list under the button, and you can clear all of them by clicking the Clear List icon and select again.
Prime Contractor*: The prime contractor of the solicitation response. Either bidder or vendor can be selected by clicking based on the Add methods:
❑ Add Response for Invited Bidder: Only the bidders of the current solicitation can be used as prime contractor. ❑ Add Response for Uninvited Bidder: All existing vendors can be used as prime contractor, and a corresponding bidder will be created automatically for the vendor once the new response has been saved successfully.
Status: The status of the response. It is Draft by default, and you can select another status from the dropdown list.
You can add subcontractors into the subcontractor grid by clicking Add icon , the Add Subcontractor window will pop up:

Subcontractor*: Browse and select the subcontractor for the current solicitation response by clicking , and the system will open the Vendor lookup view for your selection.
Description: The description of the subcontractor.
Click the Save button to save the subcontractor temporarily, or click Cancel to abort and return. Later you can update any existing subcontractor by clicking the icon in the View column.
You can manage questions and quotes in the Bid Response Details section.
Original Bid
Initially, the pre-defined questions and quotes with different groups & sections will be loaded automatically into the current response. You can only input those responsive fields of the quote line items, like Unit Price, and the system will automatically calculate the Amount (= Unit Price * Quantity) of the quote line item. You cannot add other new quote line items or delete any of them.
You can collapse or expand a group or section by clicking the Collapse / Expand icon on the top right corner of the group or section box.
You can click Full Screen Editing icon to enter full screen editing mode.
You can click the icon to pop up the Edit Line Item Detail window.
Alternative Bid
You can add alternate bids with self-created groups & sections for the current response.
Click the area that reads "Please click here to create an alternate bid", and a popup window will be displayed.
Input the Name of the new group and click OK button to add it to the bottom of the tab page, or click Cancel button to abort and return.
Then you can add new section(s) into the new group by clicking the Add Line Item Section(s) icon on the top left corner of the group box, and a popup window will be displayed.
All available sections will be listed and checked by default. You can select the appropriate sections by their Descriptions and update the New Section Name. Note, the section name cannot be duplicated within a single group.
Click OK button to add the new section(s) to the bottom of the current group, or click Cancel to abort and return.
You can edit group and section properties by clicking the Edit Group Properties icon on the top left corner of the group box, and a popup window will be displayed.
You can click the Rename icon to change the names of the group and section(s), or click the Reorder Sections via Drag & Drop icon to change the sequence of the sections.
Click OK button to apply the changes, or click Cancel to abort and return.

The alternate bid quote line item structure is configurable, normally with the following fields:

Bid Spec No.: The specification number of the quote line item.
SOV Item: The SOV item of the quote line item. Click the grid column to enter editing mode, and select an SOV item by clicking .
Item Description: The description of the quote line item.
Unit: The unit of the quote line item.
Quantity: The required quantity of the quote line item.
Unit Price: The unit price of the quote line item.
Amount: The total amount of the quote line item, it is read-only and automatically computed by Unit Price * Quantity.
You can add a new quote line item into an existing section by clicking the Add Row icon on the top left corner of the section box, and an empty line item will be added at the bottom of the current section.
You can add multiple new quote line items into an existing section by clicking the small triangle beside the icon , a floating window will be displayed.
Then input the number of line items and click the Create button, these line item will be added at the bottom of the current section.
You can delete multiple quote line items by select them and clicking the Batch Delete icon on the top left of the section box.
You can click the icon on the top left corner of the section box to load quote line items from other business entities in CIPAce. A dropdown list will be displayed for you to select from which source the quote line items will be created by attribute mapping relationships.
You can click Full Screen Editing icon to enter full screen editing mode.
Click to exit full screen editing mode.
You can click the Filter icon in each column of the grid title to enter or clear filtering conditions for the values in this column,the quote line items will be refreshed to show the filtering result.
In the quote line item grid, you can:
Click the Add icon to insert a new quote line item after the current quote line item.
Click the Remove icon to delete the current quote line item.
Click the Duplicate icon to copy the current quote line item and paste it after the current one.
Click the Popup to Edit icon to enter the quote line item detail screen.
You can edit the quote line item general information in the above screen. If line item splitting has been configured for this type of solicitation, you can add or edit split line items of the following fields:
Project: The implementation project linked to the split line item. Click the grid column to enter editing mode, and select an implementation project by clicking .
Fund: The fund linked to the split line item. Click the grid column to enter into editing mode, and select a fund by clicking .
Percentage: The percentage of this split line item. Only positive value is allowed. Amount: The amount of this split line item, it will be automatically calculated by Total Amount * Percentage. You can click the Add icon on the top left corner of the grid to add a new split line item to the bottom of the grid. You can delete multiple split line items by selecting their checkboxes and click the Batch Delete icon . You can load split line items from other business entities by clicking the Load from icon , and a dropdown list will be displayed for you to select a source entity and pop up a search window for record selection and loading. Click the OK button to save the updated quote line item temporarily, or click Cancel to abort and return.
