Navigate Here: Implementation > Contracts > Browse Contracts; select a contract > Line Items tab; Move to Contract Line Items section.

 

You can only add and edit Contract Line Items when the contract Status is Draft, Under Review or Rejected.

You can add new contract line items by any of the following ways:

 

1. Click the Add icon Add and the system will pop up a new screen for you to add the Line Item Detail.

 

2. Load source line items by clicking the Load From buttons: For example, you can click the Load from SOV Item button to pop up the SOV item look up window, make your selection and click the OK button. New contract line items will then be created with these SOV Items.

You can search the contract line items you want by entering conditions in the Search section.  Such search conditions like SOV Item can be configured by Dynamic View.

 

The contract line item data grid is for viewing only, and you may sort the records by clicking the linked column header.  To edit a line item, you can click the Edit icon Editat the first column of each line, and the system will open a new screen to Edit Line Item Detail.

 

Line No.: Contract line item number. It must be unique within the contract.

 

SOV Item: Schedule of Value item that describes the work.  Browse and select a SOV Item by clicking Magnifierin popup edit screen.

 

Project: The implementation project linked to the line item.  Browse and select a project by clicking Magnifierin popup edit screen.  If split line item is enabled, project will be normally shown in split line item level by configuration.

 

Fund: The fund linked to the line item.  Browse and select a fund by clicking Magnifierin popup edit screen.  If split line item is enabled, fund will be normally shown in split line item level by configuration.

 

Type: General type of the contract line item.  You can select it by a drop down list in popup edit screen and manage it on Manage Picklist page.

 

(Sub-)Contractor: The Vendor that performs the work of the line item. Browse and select a vendor by clicking Magnifierin popup edit screen.

 

Unit: The unit of the work for the line item.  You can select it by a drop down list in popup edit screen.

 

Initial Unit Price, Quantity and Amount: The initial values of the line item for your input in popup edit screen.

 

Latest Unit Price, Quantity and Amount: The latest values of the line item.

 

Completed: The completed amount of the line item, it is normally inclusive of actual or pending paid amount.

 

Remaining: The remained amount of the line item, its values = [Latest Amount - Completed Amount].

 

Paid Amount: The paid amount of the line item.

 

For specific contract types, some special fields will be shown for the contract line item by line item structure configuration.

 

    Cost Type: (For NTE contract only) line item type by cost.  You can manage it on Manage Picklist page.

 

     Category: (For Job Costing Master and Job Order contracts only) line item type by category.  You can manage it on Manage Picklist page.

 

You can delete a contract line item by clicking the Delete icon Deleteat the last column of each line.  Please note that if the corresponding invoice line items or PO line items against the contract line items have been added in the system, it is not allowed to delete such contract line items.

 

You can edit contract line item(s) in batch mode in the following ways:

 

1. Select line item(s) and click the Batch Delete icon DeleteSelectBudget.  These line items will be deleted in a batch.Please note that if the corresponding invoice line items or PO line items against the contract line items have been added in the system, it is not allowed to delete such contract line items.

 

 

2. Select line item(s) and click the Batch Update icon BatchUpdate.  The batch update screen will be shown.

 

BatchUpdate_ContractLineItem_Split

 

     - You can fill in the batch update values and click OK button at the bottom of the page to save the changes made on selected contract line item(s).

 

     - You can uncheck the “Is Updated” checkbox to deselect any unwanted values from the batch update.

 

     - You can force blank value to overwrite the existing values by checking the “Is Updated” checkbox of that particular field.

 

     - You can add AddRow or deleteremovesplit line item(s) if line item splitting is enabled.  Please note that these split line item(s) will overwrite the existing split line item(s) of the selected contract line item(s).

 

You can import contract line items from Excel data source by clicking the Import Data icon Import.

 

You can export selected contract line item(s) to Excel data source by clicking the Export Data icon ExportData.

 

You can view the change history of the contract line items by clicking the View Audit Trail button.  The system will then open the Browse Audit Trail Details page in a new window.

 

 

Line Item Detail

 

Contract Line Item Detail popup screen will show different forms under different contract types by Dynamic Form configuration.

Besides adding or editing contract line item basic information, you can manage split line item in the above screen if line item splitting is enabled.

 

You can add new split line items by clicking AddRow at the top left corner of the line item splitting grid or edit any existing split line items on the grid.

 

Item No.: Split line item sequence number.  It is automatically generated by the system.

 

Project: The implementation project linked to the split line item.  Browse and select a project by clicking Magnifier.

 

Fund: The fund linked to the split line item.  Browse and select a fund by clicking Magnifier.

 

Percentage: The share percentage of this split line item's initial amount out of the initial amount of the current contract line item.

Amount: The split line item initial amount.  Its value = [contract line item initial amount * percentage].  You can also enter this amount first, then the system will automatically calculate the percentage = [split line item initial amount / contract line item initial amount].

Latest Percentage: The share percentage of this split line item's latest amount out of the latest amount of the current contract line item.

Latest Amount: The latest amount of the split line item by including all implemented changes.  It is always read only.

Remaining: The remaining amount of the split line item by deducting invoice amount linked to this split line item from its latest amount.

You can select multiple split line items by using the checkbox in front of each line and delete the corresponding split line items by clickingremovebutton.

You can view the change order line item associated with current contract line item.

- A brief summary of each related change order includes CO ID & Subject, Transfer Record, Line Item Type, Line No., Adjusted Amount, Transfer Amount and Status (These columns in the data grid can be configured by Dynamic View). You may sort the records by clicking the linked column header.

 

- You can view the detailed information of a change order line item by clicking view.  The system will open the CO Line Item Detail page under read only mode in a new window.

 

Once you've finished the editing, you can click the OK button to save the contract line item or click the Cancel button to abort the current operation and return to Contract Line Items tab page.
