Manage Solicitation General

Navigate Here: Implementation > Solicitation Management > Browse Solicitations, select a solicitation

 

You can edit the solicitation general information on Solicitation Management page - General tab.

To edit a solicitation's general information, update any of the following fields:

 

The required fields are noted with an asterisk (*).

 

Type*: The type of a solicitation, it is read-only after the solicitation has been created.

 

Solicitation ID*: The ID of a solicitation.  It must be unique.

 

Solicitation Name*: The name of a solicitation.

 

Status: The status of the solicitation, you can use different status by configuration via Status Management.

 

Process Type: The bidding process type of a solicitation.  You can select Private Bidding or Public Bidding from the picklist.

 

Bid Open Date*:The date when the solicitation is open for bidding.

 

Bid Due Date*: The deadline to submit a bid response for the solicitation.

 

Department: Browse and select the management department for the solicitation by clicking Magnifier.  All departments must be configured via Department Management.

 

Bid Manager: Browse and select the manager for the solicitation by clicking Magnifier.  The system will open the Resource lookup view for your selection.

 

Associated Projects: The implementation projects associated with the solicitation.  Click on the icon AddRow to make your selection in the implementation project lookup view, or click on the icon DeleteRow to disassociate any selected implementation project.

 

Description: The detail description of the solicitation.

 

Once you've finished editing, click the Save button to save the solicitation.

 

You can click the Cancel button to abort the current operation and go to the Browse Solicitations.

You can click the Delete button to delete the solicitation.  A confirmation message will prompt.  The system will then go to the Browse Solicitations page after deletion.

 

You can click the Generate Bid Package to download the latest general bid package file in Excel format for bid responding purpose.

 

You can view change history of this solicitation by clicking the View Audit Trail button.  The system will then open the Browse Audit Trail Details page in a new window.

You can print information of this solicitation through pre-defined document template by clicking the Print button.  The system will then open the Generate Dynamic Document page.

 

You can click the Notify button to send notification to relevant persons for the solicitation.  The system will then go to the Send Notification page.

 

You can click the Replicate Solicitation button to create a new solicitation by copying the current solicitation and its associated data.

 

You can click the Send + "Email Template Name" button to send batch notification emails for bidding process.  In the above example, the Send Bidder Invitations is available for you to send bid invitations to the bidders in the current solicitation.

 

If solicitation related workflow is activated, you can click the Start Workflow button to initiate the workflow or Forecast button to see the workflow activities’ details.  Documents can be attached to the workflow tasks by uploading them from your local PC folders.

 

 

Default Line Item Splitting

 

If default line item splitting has been configured for this type of solicitation, you can add or edit split line items with the following fields:

 

Project: The implementation project linked to the split line item.  Click the grid column to enter editing mode, and select an implementation project by clicking Magnifier.

 

Fund: The fund linked to the split line item.  Click the grid column to enter editing mode, and select a fund by clicking Magnifier.

 

Percentage: The default percentage of this split line item.  Only positive value is allowed.

You can click Add icon add-small on the top left of the grid to add a new split line item to the bottom of the grid.

You can delete multiple split line items by selecting their checkboxes and click Batch Delete icon BatchDeleteQuoteLineItem .

You can load split line items from other business entities by clicking the Load from icon loadform , a dropdown list will be displayed for you to select a source entity and pop up a search window for record selection and loading.

 

General Bid Package

 

Normally, the general bid package file contains sheets of solicitation general, questions and multiple sections of quotes by configuration.

Note, only the responsive fields can be input in this bid package file, and no new line items can be added to the questions or quotes sheets.

 

 

Replicate Solicitation

 

The Replicate Solicitation screen is configurable by system administrator.

To replicate a solicitation, input the following required fields:

 

New Solicitation ID: The ID of the new solicitation.  It must be unique.

 

New Solicitation Name: The name of the new solicitation.

 

Bid Open Date:The date when the new solicitation is open for bidding.

 

Bid Due Date: The deadline to submit a bid response for the new solicitation.

 

The associated data of the solicitation will be listed for you to select which will be replicated into the new solicitation.  You can use the Select / Deselect All option to select or deselect all below options with one click.

 

Click the OK button to start creating the new solicitation.

 

Click the Cancel button to cancel your operation and return to the solicitation General tab.

 

 

Send Batch Emails

 

The Send Batch Email screen is configurable by system administrator.

A list of recipient will be shown in the Recipients section, you can select/deselect a recipient by using the checkboxes.  By default, all of them have been selected.

 

You can edit the Subject and Message of the email which is loaded from a email template.  Please note there are dynamic attributes embraced in a pair of "{}".  If you remove any of them, the system will treat it as plain text instead.

 

You can upload documents as email attachments by clicking the Select File button in the Upload Attachment field to select files from your local PC folders, and the file names will be listed under the button.  You can clear all uploading documents by clicking the Clear List icon clearselect before sending the emails.

 

The documents associated with the current solicitation will be shown in the Attachments section, you can select/deselect a document as email attachment by its checkbox.

 

Once you've finished, click Send button to send the emails immediately.  You can view the sent emails in Browse Emails and Notifications page.

 

You can also click Preview button to preview the email of the first recipient before sending.

 

Click Cancel button to abort and return to solicitation general page.
